With the AGM only a couple of months away, the following is a copy of correspondence sent to affiliates in late 2010 as a reminder on the process for affiliate members of WRCS who arrange their insurance elsewhere. If you are a full member of WRCS and arrange your insurance with WRCS as part of your renewal, you can ignore this!

                              RE:         Affiliates to WRCS

                             What you need to do next year – 2011/12

This advice is directed to those members who have MAAA insurance with another club [primary club] and who wish to re-enrol with WRCS either at the 2011 Annual General Meeting or by mail.

As you are aware WRCS has to have proof of your insurance payment to your primary club.  In the past, a piece of paper with a scrawled unreadable signature that your Insurance has been paid to your primary club, was accepted on trust.  This will no longer be acceptable in future.  Certainly a verbal assurance that it has not been paid because the primary club AGM has not been held but will be paid “next week” is not acceptable even though you may be a long time affiliated member.  

This tightening of our procedures arises following an officer level discussions with MAS on the subject of MAAA Insurance and the delay by some Affiliates in becoming compliant after being issued with a key. 

We need to reinforce the fact that the responsibility for insurance compliance notification to WRCS is yours not ours.

Re-enrolment sans key/badge date, will be available at the AGM with the key posted out upon receipt of a copy of your new MAAA registration.  Your flying ought not be affected at your primary club [just as it will not be affected at WRCS] in the “grey” period following end of year Insurance coverage.  We understand that there is a convention that that you are deemed to have continuous coverage during the re registration period, at your primary club provided payment has been made.  There is no known extension of this convention to a secondary club. 

We apologise to long time Affiliates with the procedure for next year but it is an issue which the committee decided needs to be enforced.  

In conclusion:

  1. You can pay all fees with the signed invoice on the night of the AGM but you will not receive a key or current badge date until sending in your MAAA copy to the REGISTRAR, address below.

OR

  1. If you are paying re-enrolment by mail then once you have received your new MAAA card, send a photo copy with your fees and the signed invoice (i.e. you have read and agree to the rules) to:

NOTE: Concessions, such as pensioner, email news, Jr etc have already been factored in so pay the amount shown as TOTAL & do not make adjustments

Finally, please be aware that WRCS values its Affiliate members who have another primary club, as this helps in ensuring the viability of flying sites which are being reduced due to various reasons.
